TopLogic is the country's leading logistics optimizer. They handle freight and transport for clients across the Nordics, with a complex network of suppliers, carriers and pricing models.

AIKI serves as TopLogic's external AI department. We don't just deliver software; we develop and operate custom solutions as an integrated partner. This partnership has grown from a single automation idea to a full platform with eight deliveries in production.

The challenge was scale: every transport supplier has its own invoice format, surcharges and portals. Keeping up manually was not just time-consuming, it was a source of errors that could affect customer invoicing.

Challenge

Manual processing in a complex supplier chain

TopLogic receives transport invoices from over 17 suppliers, each with unique formats, field structures and rules. Manual processing and verification of these invoices cost hours every week.

Surcharges like fuel adjustments, currency fluctuations, sulfur and ETS rates change weekly or monthly across 10+ carriers. Keeping up manually was nearly impossible, and missing changes could lead to incorrect pricing.

Some suppliers offer no API. TopLogic's team had to log into web portals manually to retrieve invoices and documents. Time that could go toward analysis and advisory went to repetitive data collection.

Solution

An integrated AI platform

AIKI built an autonomous logistics AI platform with four main pillars. The invoice uploader parses PDF invoices from 17 suppliers and extracts 133 data fields into standardized Excel ready for ERP and variance analysis.

The surcharge monitor checks 10+ carriers daily. An orchestrator runs at 06:00 and delegates to one task per carrier. Hash deduplication eliminates noise, AI verification ensures accuracy, and Slack alerts provide immediate notification when anything changes.

Portal scrapers with AES-256 encryption handle suppliers without APIs. The Automation Manager gives TopLogic full overview of all runs, costs and status in real time.

Results

The platform runs in production 24/7 with daily automations. TopLogic saves hours every week on manual processing and surcharge monitoring.

During Q1 2026, four critical production bugs were identified and resolved without downtime for the customer. This included XML mix-up, double invoice, transient fetch errors and DOM timing in the UPS portal.
